You just spotted an event flyer on a bulletin board. The concert looks amazing, but you're in a hurry. How do you make sure you don't forget about it?
With Photo2Calendar, you can go from photo to calendar event in under 60 seconds. Here's exactly how to do it.
What You'll Need
- An Android phone
- Photo2Calendar installed (free download)
- An event flyer, poster, or invitation (physical or digital)
Step 1: Open the App and Choose Your Input Method (5 seconds)
Open Photo2Calendar. On the home screen, you'll see the main "Scan Photo" button. Tap it to choose how you want to capture the event:
- Take Photo — Use your camera to snap the flyer right now
- Select from Gallery — Pick a photo you already took or received
- Batch Scan — Select 2-5 photos for multiple events at once
- Select from Files — Choose a PDF, screenshot, or document
Alternatively, if the event details are in text form (from an email or message), tap "Paste or type text" and paste them directly.
Step 2: Let AI Extract the Details (5-10 seconds)
After selecting your photo, Photo2Calendar's AI engine (powered by Google Gemini) analyzes the image. You'll see a progress indicator as it:
- Reads all text in the image
- Identifies the event title
- Extracts dates and times
- Finds the location/venue
- Detects any URLs or ticket links
- Pulls out the event description
This typically takes 3-8 seconds depending on the complexity of the flyer.
Step 3: Review and Edit (10-20 seconds)
The app shows you the extracted event details in an editable form. Each field is clearly labeled:
- Event Title — The main heading of the event
- Date — With a date picker for easy correction
- Start/End Time — With time pickers
- Location — The venue or address
- Description — Additional details
- Link/URL — Ticket or registration link (clickable)
If everything looks correct (it usually does), you can skip editing entirely. If the AI got something slightly wrong — say it read "3pm" as "3am" — just tap the field and fix it.
Step 4: Add to Calendar (3 seconds)
Tap the big "Add to Calendar" button at the bottom. The event is instantly saved to your phone's calendar. You'll see a success screen confirming:
- Event was added successfully
- Option to "Open Calendar" to verify
- Option to "Sync to Google Calendar" for cloud sync
- Option to "Scan Another" for your next event
Total time: Under 60 seconds. Usually closer to 15-20 seconds if the AI gets everything right on the first try.
Ready to Try It?
Photo2Calendar is free on Google Play. Your first 5 scans are on us, every day.
Get it onGoogle PlayPro Tips for Better Scans
- Good lighting — Make sure the flyer is well-lit and not in shadow
- Straight angle — Hold your phone parallel to the flyer to avoid perspective distortion
- Full frame — Include all the text in the frame. Cropping important details will reduce accuracy
- Clear photos — Avoid blurry shots. The AI needs to read the text clearly
- Use batch mode — At a conference or community board? Use batch scan to capture multiple flyers at once
What Types of Events Work Best?
Photo2Calendar works with virtually any event format:
- Concert and festival posters
- Conference and workshop flyers
- Wedding and party invitations
- School and university event notices
- Community board postings
- Social media event graphics
- Email event announcements (paste the text)
- Handwritten event details (with clear writing)
What Happens After?
Once the event is in your calendar, you'll get the standard calendar notifications (reminders at the time you've set). The event includes all extracted details — location, description, and any links — so you have everything you need when the day arrives.
If you synced to Google Calendar, the event will appear on all your devices and can be shared with family or colleagues.
